How syncing works

How Extolly reads changes from Tally, how it proves its copy is right, and what every status line means with what to do about it.

The short version

Extolly keeps a copy of your books on the same computer as Tally. Every minute it asks Tally what has changed, updates the copy, and checks the copy against Tally. An entry deleted in Tally can take up to ten minutes to leave Extolly. Every screen shows how fresh the figures are.

You do not have to do anything for this to happen. Tally just needs to be open with your company loaded.

What a check does

  1. Sends anything waiting. Bills and payments you made in Extolly go into Tally first.
  2. Reads what changed. Tally numbers every change it makes. Extolly asks for everything after the last number it saw, so a new or edited entry is picked up without reading the whole book again.
  3. Looks for what was deleted. For each date, Extolly compares a count and a total of the entries with Tally's. A date that differs is read again, so an entry deleted or moved in Tally leaves Extolly too. This fuller look runs every ten minutes, and at once when something has changed or you press Check now.
  4. Proves the result. Every ledger balance and stock quantity is worked out from the copy and compared with Tally's own closing figure.

When nothing has changed in Tally, a check costs it one small question.

How often

Every minute, unless you change it. In Settings you can choose Every minute, Every 5 minutes or Every 15 minutes. If Tally is slow to answer, Extolly spaces its checks further apart by itself, so it does not get in the way of someone working in Tally.

To check right now, use Check Tally now in the menu, Check now in the rail, or Check Tally now on the icon beside the clock. The message that follows is one of Your figures are up to date, Already up to date or Tally is not answering.

The status line

Under your company's name there is always one line, with a coloured dot. When something needs you, a strip under the top bar says more and offers a button.

When Tally is closed

Extolly carries on showing your books as they stood at the last read, and says so. You can still look at everything, build reports, and make bills: a bill made now is saved and goes into Tally when it opens.

When figures differ

If balances do not match after a read, Extolly does not just report it. It reads the dates involved again, then everything, and only if they still differ does it show Figures differ from Tally. Nothing is blocked: it is a warning that a figure on screen may not be Tally's. Data health names each ledger or item that differs, with both figures.

What Extolly leaves alone in Tally

  • It does not change Tally's settings, features or period.
  • It does not write anything you did not ask for.
  • It does not need Tally's screen: you can be on any screen in Tally, or entering a voucher, while Extolly reads.

Several companies

Each company is checked in turn, on the same timer. One that is closed in Tally waits and says so, while the others carry on. See Several companies.
