Purchases, expenses and other entries
Enter a supplier's bill, a credit or debit note, an expense, a transfer between accounts, or a journal.
4 minute read
A purchase bill
Press New, then Purchase bill. The form is the sales bill's, turned round.
- Under Supplier, search and choose the supplier. Or add a new one, or choose Cash purchase, no supplier.
- Enter The supplier's bill number, as printed on their bill.
- Add the items and quantities, with the rate you paid.
- Check Tax and total. The note says whether it is a purchase within your state or from another state. Supplied from can be changed if needed.
- Under More options, Paid now records a payment with the bill.
- Press Send to Tally.
A charge with no stock item, such as transport or a repair, goes in with Add a line with no item.
A credit note
For goods a customer returned, or a price you reduced.
- Press New, then Credit note.
- Choose the customer.
- Add what was returned, or the amount you are taking off.
- Under Against which bill, choose one of the customer's unpaid bills. Or leave it as None: keep it as a credit of its own.
- Press Send to Tally.
A debit note
For goods you sent back to a supplier. Press New, then Debit note, and fill it in the same way, choosing the supplier and the bill it is against.
An expense or other entry
Press New, then Expense or other entry. First choose what it is:
| Choice | For | You choose |
|---|---|---|
| Expense or payment | Money out of cash or the bank: rent, salary, a bill paid | Paid for (the ledger) and Paid from (the account) |
| Money received | Money into cash or the bank that is not for a sales bill | Received in and Received for |
| Transfer | Between cash and bank accounts | Into and Out of |
| Journal | An adjustment that touches neither cash nor the bank | Debit and Credit |
Then enter the Amount, the Date and a Note, and press Send to Tally.
When you search for a ledger, each match shows its group in Tally, so you can tell two similar names apart.
What this form does not do
- It makes entries with one debit and one credit. An entry split across several ledgers needs to be made in Tally.
- It does not work out GST. An expense that carries GST to claim is better entered as a purchase bill, or in Tally.
What cannot be made in Extolly
Sales and purchase orders, delivery notes, receipt notes, stock journals, manufacturing entries and payroll are read from Tally and shown under Bills, but they cannot be made here. Make those in Tally as you do now.
New stock groups, units, godowns and ledgers (other than customers, suppliers and an IGST ledger) are also made in Tally.
After sending
Everything made here behaves like a sales bill once sent: it goes into Tally at once if Tally is open, waits if it is closed, and is shown with its reason if Tally refuses it. See When a bill is waiting or refused.
